Planning an Event
Reserving your space: So you want to hold an event for your RISO or campus department. Whether it’s a fund-raiser or a workshop, you need to know where to start? Well, first things first. You need to determine WHERE your event will be held and what DAY and TIME it is.
After you’ve figured out the space that you need and the date and time, your next step is to fill out a Facilities Request Form.
- Estimate Attendance: Be reasonable when estimating an amount of attendees. Don’t expect an attendance of 100 when you have a small space that can only accommodate 30.
- Building & Room: Where will your event be held? Be as specific as possible. If you plan to hold it in an area like The Mall, specify buildings and areas that will be near or around it.
- Services Requested:
- Parking Passes are reserved for guests who plan to come on campus for your event and do not already have an HCC parking pass.
- Special Setup for a specific arrangement of the area regarding pieces of furniture like tables and chairs. As instructed, you will need to provide a drawing or graphic displaying the specific arrangement you desire.
- Other is used for specific instructions. You may request tables & chairs in this area.
- Media service is reserved for use of technology available in the Loui Conference Room (2-211) and 2-214.
Signatures are the last items required from the applicant (officer) submitting the request, the coordinator (your advisor or Emily Kukulies) and the Dean of your department/trade. You do not need to fill out or sign the 2nd page.
